Imagine a platform where patients can easily find and join clinical trials, without being lost in complex processes or overwhelming forms.
At Optio by Trialog, my mission was to redesign and optimize the UX/UI to make the recruitment process smoother, more engaging, and fully compliant with strict healthcare regulations. I also integrated marketing strategies to strengthen outreach and visibility in the medical and pharmaceutical sectors, ensuring that more patients could be reached and supported.

Personas

We began by identifying our two core users:

Sarah, a patient looking for accessible, trustworthy information about clinical trials without getting lost in medical jargon.

David, a clinical coordinator seeking efficient tools to screen, qualify, and onboard patients into studies.


To better understand their expectations, we analyzed competitors in the patient recruitment space, identifying key gaps:

  • Poor visibility into trial insights and success rates for patients

  • Cumbersome onboarding processes with high drop-off rates

  • Limited tools for coordinators to efficiently track and manage candidates


Based on this, we formed our initial hypothesis:

"Patients and coordinators need a transparent, user-friendly platform that simplifies trial enrollment while providing healthcare professionals with the flexibility to manage recruitment efficiently."

This insight guided every design decision moving forward.

Mapped full user journey: trial discovery → eligibility → enrollment → follow-up

  • Segmented roles: Patients vs. Coordinators for clear navigation

  • Patient onboarding: step-by-step, reduces drop-offs

  • Trial exploration: search → eligibility → application → coordinator review

  • Coordinator dashboard: track applicants, manage communication, monitor enrollment

  • Admin area: user management, trial oversight, performance monitoring

  • Ensures accessibility, scalability, and smooth learning curve for all users

To design an intuitive and efficient platform, I first mapped out the full user journey — from onboarding to predictive model exploration. The sitemap was structured to reflect real user priorities and workflows identified during early research and stakeholder interviews.

  • Clear segmentation between user roles (client vs. Panacea admin) avoids confusion and streamlines navigation.

  • Onboarding flow is broken into digestible steps to reduce friction and maximize completion rate.

  • Project creation mimics a natural progression: data upload → analysis → insights → dashboard.

  • Flexible dashboard structure allows users to customize views, compare results, and make data-driven decisions.

  • Admin area provides full autonomy for support, user management, and performance monitoring.

This structure ensures the platform supports scalability, accessibility, and a smooth learning curve, regardless of the user's technical expertise.
